The purpose of the job

Accountabilities
Documentation Management:
- Create and maintain an efficient system for documenting and filing pertinent processes, letters, and files that are directed to the general managers’ offices.
Travel Plans:
- Collaborate closely with pertinent parties to finalize travel reservations, hotel accommodations, ground transportation, visas, and other matters for the GMs’ office and other associates as needed.
Management of Operations:
- Assist the Director and other members of the functional leadership team with a variety of administrative tasks.
- Oversee the creation and application of procedures and standards to guarantee the office runs smoothly.
Diary Management:
- Plan itineraries for the general managers and efficiently handle reservations and diaries.
- Additionally, the same will be done when guests arrive at the general manager’s office.
Strategic initiatives and project management:
Overheads:
- Efficient administration of GM’s budget, making sure it is updated frequently, and establishing strategies to maximize expenditures and enhance savings.
Project Management:
- In accordance with the company’s strategic goals, lead and inspire cross-functional teams on company-wide projects and activities.
Leadership and Other Strategic Meetings:
- Will be in charge of assembling pre-reads and other pertinent documents for the GM’s meetings in collaboration with the pertinent stakeholders.
- Thus, make sure that all actions are completed or closed by following up with the appropriate parties.
Maintaining confidentiality:
- Always maintain confidentiality and exercise care when handling sensitive information.
Experiences and Credentials
- A university degree is required.
- 5+ years of experience in a corporate or comparable setting
- Outstanding writing abilities, diversity, and attention to detail
- Innovative ideas and a track record of identifying business possibilities and turning them into internal projects
- Using discretion when handling private issues
- Familiarity with senior leaders and, ideally, knowledge of how to operate in a complex matrix structure
- Skillful in delivering in a fast-paced setting
