Job Description
The Compensation and Benefits Executive will manage the compensation function including but not limited to payroll, incentives, and benefits for employees. S/he will implement new and revised compensation programs, policies, and procedures to align with the company’s goals and competitive practices.
Key Responsibilities
(A) Compensation And Benefits Management
- Develop policies and procedures to support the compensation and benefits function
- Prepare and deploy periodic compensation activities such as incentives, benefits, and other statutory obligations) every month and ensure all employees are paid promptly and accurately
- Work with the Compensation and Benefits Manager to ensure cross-checking and reviews of figures before payment of compensations and benefits to ensure accuracy
- Manage the process of gathering HR data for the organization’s balanced scorecard
- Ensure compensation and benefits standards comply with company policies.
- Conduct and participate in market and salary surveys
- Monitor reviews of compensation and benefits packages to maintain market positioning.
(B) Payroll Management
- Ensure effective management of payroll processes
- Prepare and deploy payroll activities every month and ensure all employees’ salaries, benefits, and allowances are paid promptly and correctly for business divisions
- Ensure preparation of payroll scheduling i.e. payroll report, Variance, statutory/voluntary deduction report, etc.
- Provide detailed payroll report which entails total staff costs monthly, quarterly and annual for strategic decisions
- Compile summaries of earnings & deductions (Taxes, Pension, NHF, Loan, Leave, Gratuity, etc.) and all statutory schedules/remittances for the report and ensure payment accordingly
- Ensure compensation reviews based on classification or reclassification of jobs, promotions, etc.
- Prepare payroll journal which will be sent to the senior management for review monthly
- Prepare Pension Remittance Report, Tax Remittance Report, and Re-reimbursable report, Statutory deduction report i.e. NHF, NSITF, and any other report as indicated in the payroll activities for each month
- Resolve all payroll inquiries including suspended salaries and allowances, returned salaries, refunds, tax issues, etc.
(C) Human Resource Information Management
- Ensure the payroll inputs are accurately verified before sharing the data with the Compensation and Benefits Manager correctly input the data into the Human Resources Information System
- Effectively and efficiently manage the Human Resources Information System (HRIS)
- Create workshops to sensitize employees on how to utilize the Employee Self Service on the HRIS
- Resolve complaints employees may have in navigating the portal
(D) Operational/Administrative Functions
- Work with cross-functional teams such as Internal Control, Finance, and Business Managers to ensure an effective payroll process
- Collate names of staff nominated for internal training and share for approval with the Compensation and Benefits Manager
- Ensure staff files are accurately stored
- Ensure all due correspondences, memos, reports, and certificates are tracked in each employee’s files
- Vet all medical reimbursement records and share them with the Compensation and Benefits Manager for review
(E) Database Management
- Create and manage the HR Database
- Share database information such as physical files and folders with only approved recipients
- Track the in and out of the files and the document contents of the file
- Ensure the records of ad-hoc staff are properly inputted into the database
Qualifications
- First degree in Social Sciences/ Management /Physical Sciences or Engineering
- Professional Membership in HR is required.
- Minimum of 4 years experience as a compensation and benefits or payroll specialist
- Strong knowledge of data analysis is required
- Proficiency in payroll preparation using ERP software, preferably Microsoft Dynamics Business Central (Sage & Oracle experience considered).
- Advanced expertise in Microsoft Excel for data analysis and reporting.
- Exceptional attention to detail.
- Excellent communication skills, demonstrating clarity and conciseness
