The Role
At WithinLabs, the HR and Operational Admin Officer/Manager will be in charge of managing all facets of the company’s administrative, operational, and human resources operations. In addition to making sure that daily office operations run well and that corporate standards are followed, this also include handling hiring, onboarding, employee relations, performance management, staff retention, training, and development.
Responsibilities
Human Resources:
Hiring and Orientation:
-Oversee the entire hiring process, which includes posting jobs, conducting interviews, screening candidates, and hiring them.
– Manage the onboarding and orientation procedures for new hires.
Create and update job descriptions, and make sure openings are filled as soon as possible.
Relations with Employees:
-Handle employee grievances and settle disputes via efficient communication and mediation.
-As the chief culture officer, you are in charge of putting the company’s culture, values, and vision into practice.
-Encourage a happy workplace and uphold the company’s principles and culture.
Conduct surveys and other employee engagement initiatives.
Management of Performance:
-Oversee the performance review procedure and help employees create goals and KPIs.
-Create and oversee plans for staff development and, if required, offer coaching.
-Implement training and development initiatives to improve staff members’ abilities and output.
Pay and Benefits:
-Oversee payroll processes and make sure employees are paid on schedule.
-Manage benefits for staff members, such as health insurance, paid time off, and other advantages.
-Keep abreast of market developments to ensure that compensation packages remain competitive.
Compliance and Policy:
-In accordance with labour regulations, create, implement, and update HR policies and procedures.
-Verify adherence to laws, particularly those pertaining to worker rights, health, and safety.
-Manage terminations and disciplinary measures as needed.
Operations:
-Oversee and assist with daily office management and operational duties.
-Manage correspondence and document management.
-In order to establish structure, gather information, streamline procedures, find areas for organisational enhancements, and guarantee operational effectiveness, collaborate with the chief operations officer.
-Keep an eye on vendor management, spending reports, and budgets.
-Monitoring and reporting operational performance metrics aids in pinpointing areas in need of development.
Administration:
Management of the Office:
-Assure the efficient running of all daily operational and administrative tasks, such as managing vendors, maintaining equipment, and providing office supplies.
-Handle any ad hoc operational problems or issues.
Management of Records:
-Keep both paper and electronic personnel records current and correct.
-Arrange and preserve business records, agreements, and court documents.
-Assure appropriate data security and confidentiality for sensitive information.
Coordination of Travel and Events
-Plan and arrange executive and staff business travel, lodging, and itineraries, as well as any other ad hoc operational duties.
-Help with the organisation and coordination of meetings, training sessions, and workplace activities.
-Make sure the group follows best practices and agile approaches.
Qualification
- A bachelor’s degree in business administration, human resources, or a similar discipline is required for education.
- Expertise: three to five years of administrative and human resources expertise, ideally in a related position.
- Strong familiarity with labour laws, HR procedures, and industry best practices.
- Outstanding interpersonal, negotiating, and communication abilities.
- The capacity to efficiently prioritise, multitask, and manage time.
- Knowledgeable on Microsoft Office Suite, HRIS systems, and other pertinent software.
- High standards of integrity, confidentiality, and meticulousness.
